Hosting FAQ
How much does it cost to host?
Listing an approved event on the official calendar is free — there's no cost to host. Hosts cover their own event costs (venue, catering, etc.).
Can events be in-person, virtual, or hybrid?
In-person, virtual, and hybrid events are all welcome.
Where can in-person events be held?
Boston AI Week does not provide venues — hosts arrange their own space. In-person events should take place in Massachusetts; virtual and hybrid events are listed with a join link.
What are you looking for?
Relevance to AI, clear value for attendees, a credible host, and alignment with our Code of Conduct. We prioritize substance over spectacle — practitioner-led sessions, honest technical conversations, and events that genuinely serve the community.
When's the deadline?
There's no fixed submission deadline — events are reviewed on a rolling basis. Submit early to be included in schedule-launch announcements.
Can a recurring meetup take part?
Yes. Existing groups can run their regular meetup under the official Boston AI Week banner during the week.
What do I get once approved?
A listing on the official schedule and on attendee agendas with your name, logo, and description, plus inclusion in relevant promotion.
