Terms of Service

The ground rules for using the Boston AI Week website, listings, and accounts.

These Terms of Service ("Terms") govern your access to and use of the Boston AI Week website, schedule, accounts, and related services (collectively, the "Site"), operated by SmartCurrent Inc. ("Boston AI Week," "we," "us," or "our"). By accessing or using the Site, creating an account, subscribing, or submitting an event, you agree to these Terms. Your use of the Site is also governed by our Privacy Policy and our Code of Conduct, each of which is incorporated into these Terms by reference. If you do not agree, please do not use the Site.

1. Eligibility and accounts

You must be at least 18 years old to create an account, subscribe, or submit an event. The Site is intended for adults; individuals aged 13–17 may use public schedule information only with the involvement of a parent or guardian. The Site is not intended for and may not be used by children under 13. You are responsible for the accuracy of the information you provide, for all activity that occurs under your account, and for keeping your credentials confidential. Notify us promptly at info@aiweek.boston if you suspect unauthorized use. We may suspend or terminate accounts that violate these Terms or the Code of Conduct, or that create risk or legal exposure for us or others.

2. Independent community event

Boston AI Week is an independent, community-run festival. It is not an official program of, and is not endorsed or sponsored by, the City of Boston, the Commonwealth of Massachusetts, or any university, employer, or sponsor unless explicitly stated. Sponsors and partners support the festival but do not control the program or its content.

3. Relationship to other agreements

These Terms govern your use of the Site. Sponsorships, partnerships, exhibitor arrangements, and other commercial relationships are governed by separate written agreements with SmartCurrent Inc. / Boston AI Week; if there is a conflict between such an agreement and these Terms, the separate agreement controls for that relationship. The limitations in these Terms, including the liability cap in Section 13, apply to your use of the Site and do not modify any separate written agreement.

4. The festival schedule and listings

Boston AI Week aggregates and lists events submitted by independent hosts and curated by us. We do not produce, run, ticket, staff, fund, insure, or supervise hosted events. Each event is the sole responsibility of its host. We may decline, edit, reorder, or remove any listing at our discretion — for example, if it is inaccurate, off-topic, unsafe, or inconsistent with the festival's values or our Code of Conduct.

5. Host responsibilities

If you submit or host an event, you represent, warrant, and agree that:

  • You have the authority to host the event and to grant us the licenses in these Terms.
  • The information you submit (including title, description, host name, logo, times, location or join link, and capacity) is accurate, lawful, and kept current.
  • You are solely responsible for the venue, accessibility, safety, security, ticketing or RSVP management, staffing, any food and beverage, and any required permits, licenses, and insurance.
  • You will comply with our Code of Conduct and all applicable laws, and will respond to attendee questions in a reasonable timeframe.
  • You will uphold and enforce our Code of Conduct at your event and designate a point of contact for concerns, as a condition of being listed.
  • You will not collect attendee information on our behalf; any information you collect from attendees is collected by you as an independent controller under your own privacy practices.

6. RSVPs, saved schedules, and accounts

RSVP ("Going"), event-saving, personal-schedule, and calendar (.ics) features are conveniences provided "as is." An RSVP or saved event is not a ticket and does not guarantee admission, a seat, or capacity, which are controlled by the host. We do not guarantee the accuracy, completeness, or availability of schedule information, which is subject to change by hosts and by us.

7. User content and license

You may submit content to the Site, including event listings, host names, logos, images, descriptions, and profile information ("User Content"). You retain ownership of your User Content. You grant Boston AI Week a worldwide, non-exclusive, royalty-free, sublicensable license to host, store, reproduce, display, adapt for formatting, and distribute your User Content on the Site and in related promotion of the festival. You represent and warrant that you own or have the rights to your User Content and that it does not infringe any third party's rights or violate any law. We may remove or refuse any User Content at our discretion.

8. Acceptable use

When using the Site or attending listed events, you agree not to:

  • Violate any law or regulation, or the rights of others.
  • Harass, threaten, intimidate, or discriminate against any person; engage in hate speech; or otherwise violate our Code of Conduct.
  • Submit false, misleading, spammy, or promotional content disguised as a community event.
  • Impersonate any person or organization or misrepresent your affiliation.
  • Upload or transmit viruses, malware, or other harmful code.
  • Attempt to disrupt, overload, reverse engineer, scrape at scale, data-mine, or gain unauthorized access to the Site, its accounts, or its data.
  • Use the Site or any data obtained from it to send unsolicited commercial communications or to train machine-learning systems without our permission.

9. Code of Conduct

All use of the Site and participation in Boston AI Week is subject to our Code of Conduct, which is incorporated into these Terms. The Code of Conduct also serves as our anti-harassment policy.

10. Intellectual property

The Boston AI Week name, logo, and the Site's original design, copy, photography, and code are owned by SmartCurrent Inc. or its licensors and are protected by intellectual property laws. Except for personal, non-commercial use of public schedule information, you may not copy, modify, distribute, or create derivative works from them without our prior written permission. All other trademarks, logos, and content (including those of sponsors and hosts) are the property of their respective owners.

11. Copyright and notice-and-takedown

We respect intellectual property rights. If you believe content on the Site infringes your copyright or other rights, email info@aiweek.boston with: (a) a description of the work or right; (b) the location (URL) of the content on the Site; (c) your contact information; (d) a statement that you have a good-faith belief the use is unauthorized; and (e) a statement, under penalty of perjury, that the information is accurate and that you are the rights holder or authorized to act on their behalf. We will review and remove infringing content where appropriate and may remove content of repeat infringers.

12. Third-party services and links

The Site links to and embeds third-party content and services (including Meetup, Google Forms, host websites, ticketing pages, video, maps, and calendar tools). We do not control these services and are not responsible for their content, availability, or practices. Your use of any third-party service is governed by that provider's own terms and privacy policy.

13. Disclaimers

The Site and all listings are provided "as is" and "as available," without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the Site will be uninterrupted, secure, or error-free, or that listings are accurate, complete, or current. We make no representation or guarantee regarding (i) the number, identity, or quality of attendees, leads, or contacts; (ii) any business outcomes, sales, hires, partnerships, or return on investment from participation; (iii) the conduct or statements of attendees, hosts, speakers, sponsors, or other third parties; or (iv) the availability of any venue, vendor, or amenity, all of which are subject to change.

14. Assumption of risk for in-person events

Attendance at any in-person event is voluntary and at your own risk. Boston AI Week does not run or supervise hosted events and is not responsible for conditions at any venue or for the acts or omissions of hosts, attendees, or third parties. To the maximum extent permitted by law, you assume all risks associated with attending in-person events.

15. Limitation of liability

To the maximum extent permitted by law, Boston AI Week and its organizers, officers, volunteers, contractors, sponsors, and partners will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, or goodwill, arising out of or related to your use of the Site or attendance at any listed event, even if advised of the possibility of such damages. Our total aggregate liability for any claim arising out of or relating to the Site will not exceed one hundred U.S. dollars (USD $100). Nothing in these Terms limits liability that cannot be limited or excluded under applicable law.

16. Indemnification

You agree to indemnify, defend, and hold harmless Boston AI Week and its organizers, officers, volunteers, contractors, sponsors, and partners from any claim, loss, liability, or expense (including reasonable attorneys' fees) arising out of or related to your use of the Site, your User Content, your violation of these Terms or the Code of Conduct, your violation of any law or third-party right, or your hosting or attendance of any event.

17. Governing law and venue

These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to its conflict-of-laws principles. Subject to Section 18, any dispute arising out of or relating to these Terms or the Site will be brought exclusively in the state or federal courts located in Suffolk County, Massachusetts, and you consent to personal jurisdiction there.

18. Dispute resolution

Before filing any claim, you agree to first contact us at info@aiweek.boston and attempt in good faith to resolve the dispute informally for at least thirty (30) days.

19. Changes

We may update these Terms from time to time. Material changes will be reflected in the "Last updated" date above, and where appropriate we will provide additional notice. Your continued use of the Site after a change means you accept the updated Terms.

20. General

Severability: if any provision of these Terms is held unenforceable, the remaining provisions stay in full effect. Entire agreement: these Terms, together with the Privacy Policy, the Code of Conduct, and any separate written agreement, are the entire agreement between you and us regarding the Site and supersede prior understandings. Assignment: you may not assign these Terms; we may assign them to a successor or affiliate. Waiver: our failure to enforce any provision is not a waiver of it. Force majeure: we are not liable for any delay or failure caused by events beyond our reasonable control, including acts of God, war, terrorism, epidemics or pandemics, public health emergencies, outages, strikes, or government orders. Survival: provisions that by their nature should survive (including intellectual property, disclaimers, limitation of liability, indemnification, and governing law) survive termination. Electronic communications: you consent to receive communications from us electronically. Headings are for convenience only.
